Configure Your Agent Profile
Complete guide to creating and maintaining your agent profile, including photo uploads, biography writing, and lead matching configuration.
Accessing the Profile Editor
Section titled “Accessing the Profile Editor”- Navigate to Admin Dashboard
- Click Agents in the sidebar
- Click your name in the agents list
Setting Up Basic Information
Section titled “Setting Up Basic Information”1. Enter Contact Details
Section titled “1. Enter Contact Details”Fill in the required fields:
- Agent Name — Your full display name (required)
- Email — Your contact email address (required)
- Phone — Your contact phone number
- MLS ID — Your Multiple Listing Service identifier (if applicable)
- Profile URL — Link to your external profile or personal website
2. Write Your Biography
Section titled “2. Write Your Biography”Craft a compelling professional bio:
- Click in the Biography text area
- Write up to 500 characters describing your experience and expertise
- Monitor the word count and character count below the editor
What to include:
- Years of experience
- Geographic specialties
- Property type expertise
- Unique value proposition
- Personal touch (hobbies, community involvement)
Example:
“10+ years helping families find their dream homes in Eagle and Meridian. I specialize in luxury properties and first-time buyers. Former teacher turned Realtor—I love educating clients through every step of the home buying process. Mountain biking enthusiast and Eagle Little League coach.”
3. Upload Your Photo
Section titled “3. Upload Your Photo”Add a professional headshot:
- Click the photo upload area or drag and drop an image
- Select a square image (at least 400x400px recommended)
- Wait for automatic upload and optimization
- Preview the uploaded photo
To replace your photo:
- Click Replace
- Select a new image
To remove your photo:
- Click Remove
- Confirm deletion
4. Select Your Brokerage
Section titled “4. Select Your Brokerage”Associate your profile with a brokerage:
- Click the Brokerage dropdown
- Select your brokerage from the list
- Review the brokerage details in the preview panel
Configuring Settings
Section titled “Configuring Settings”Set Your Status
Section titled “Set Your Status”- Toggle Active to control website visibility
- Active — Visible on website, receives leads
- Inactive — Hidden from website, does not receive leads
Enable Lead Reception
Section titled “Enable Lead Reception”- Toggle Lead Recipient to receive lead notifications
- Enabled — You’ll be considered for lead routing
- Disabled — You won’t receive new lead assignments
Designate Primary Contact (Optional)
Section titled “Designate Primary Contact (Optional)”If you’re the main contact for your brokerage:
- Toggle Primary Contact to Yes
- Confirm the change (this will unset any existing primary contact)
Primary contact benefits:
- Receives fallback leads when no agent matches
- Featured prominently on the website
- Represents the brokerage in marketing materials
Configuring Lead Matching Preferences
Section titled “Configuring Lead Matching Preferences”Set up intelligent lead routing based on your expertise.
1. Describe Your Ideal Leads
Section titled “1. Describe Your Ideal Leads”Write a natural language description of clients you work best with:
- Click in the Ideal Leads text area
- Describe your specialties in detail
- Be specific about property types, areas, and client situations
Good example:
“I specialize in luxury homes in Eagle and Meridian, particularly properties with mountain views and modern architecture. I work best with first-time buyers, relocation clients from out of state, and professionals upgrading to executive homes. I’m experienced with land purchases and new construction coordination.”
Avoid vague descriptions:
“I work with all clients and all property types.” (Too generic for effective matching)
2. Select Property Types
Section titled “2. Select Property Types”Choose the property types you specialize in:
- Check the boxes for your areas of expertise
- Select multiple types if applicable
Available types:
- Residential
- Luxury
- Commercial
- Land
- New Construction
- Condo
- Townhome
- Multi-Family
3. Set Price Range
Section titled “3. Set Price Range”Define your preferred price points:
- Enter Min Price (leave empty for no minimum)
- Enter Max Price (leave empty for no maximum)
Examples:
- Luxury specialist: Min $800,000, Max $3,000,000
- First-time buyer specialist: Min $200,000, Max $450,000
- All ranges: Leave both empty
4. Add Service Areas
Section titled “4. Add Service Areas”Specify where you work:
- Type a city or neighborhood name in the input field
- Click Add to include it
- Repeat for each area you serve
- Click the × on any tag to remove an area
Strategy:
- Leave empty to receive leads from all areas
- Add specific areas to focus on particular neighborhoods you know well
5. Choose Preferred Client Types
Section titled “5. Choose Preferred Client Types”Select the client types you work best with:
- Check the boxes for your specialties
- Select multiple types if applicable
Available client types:
- First-Time Buyer
- Investor
- Relocation
- Military
- Senior
- Downsizing
- Upsizing
- Vacation Home
6. Generate Your Matching Profile
Section titled “6. Generate Your Matching Profile”After configuring all preferences:
- Review your selections
- Click Save & Generate Embedding
- Wait for the confirmation message
- Verify “Embedding generated successfully” appears
Maintaining Your Profile
Section titled “Maintaining Your Profile”When to Regenerate Embedding
Section titled “When to Regenerate Embedding”Regenerate your embedding whenever you make significant changes:
- Update your ideal leads description
- Change property type specialties
- Modify price range significantly
- Add or remove service areas
- Change preferred client types
To regenerate:
- Make your changes
- Click Save & Generate Embedding again
Resetting Preferences
Section titled “Resetting Preferences”To start fresh with lead matching preferences:
- Click Clear All
- Confirm the reset
- Reconfigure your preferences
- Generate a new embedding
Saving Your Changes
Section titled “Saving Your Changes”After making any changes to your profile:
- Click the Save button in the top-right corner
- Wait for the success confirmation
- Changes take effect immediately
Troubleshooting
Section titled “Troubleshooting”Embedding Won’t Generate
Section titled “Embedding Won’t Generate”Possible causes:
- Missing ideal leads description
- No property types selected
- Network timeout
Solutions:
- Ensure you’ve written an ideal leads description
- Select at least one property type
- Try again in a few minutes
Photo Upload Fails
Section titled “Photo Upload Fails”Possible causes:
- File too large (>5MB)
- Unsupported format
- Network issue
Solutions:
- Resize image to 400x400px before uploading
- Use JPEG or PNG format
- Check your internet connection
Changes Not Appearing on Website
Section titled “Changes Not Appearing on Website”Possible causes:
- Status is Inactive
- Browser cache
Solutions:
- Verify Active status is enabled
- Clear browser cache or try incognito mode
- Wait 1-2 minutes for cache to refresh
